Job Description

Job Summary:

The primary function of this position is to ensure all WHEDA requirements are completed as needed for program compliance to Property Management. This position will also work with the Director to coordinate marketing efforts, address building concerns and coordinate turnovers.

Essential Functions:
Give tours of community to potential tenants and families.
Answer phones as needed to provide information on community and set up tours.
Order key cards and garage door openers when needed via purchase request form.
Check billing box on 1st of the month through the 15th for any rent payments. Checking all envelopes immediately to ensure no service revenue is included.
Maintain complete wait list for all units, carefully documenting any status changes.
Communicate to maintenance, contracted cleaner, billing, dietary, office manager, staff communication log and nursing office the timeline of new admits as soon as possible allowing all departments as much time as possible to complete their respective areas.
Assist with WHEDA annual inspections
Provide weekly/monthly traffic reports to Property Management Company.
Complete all property related move out paperwork, submitting to Director for approval.
Send all required paperwork for security deposit returns. Ensure final check copy is returned to us for WHEDA file.
Store archived files in basement in a secured area.
Program keycards for new tenants, properly filling out documentation for their files.

Issue key cards, mailbox keys, garage door openers, and assign parking spaces in underground parking, documenting all for tenant files

Collect the rent, for KAB I, II and III, properly noting on a spreadsheet. Hand delivers all rent and deposit checks to the Director (from the 1st to the 5th of each month).
Responsible for proper documentation of all incoming rent checks.
Update monthly reports for property, providing copies to Property Management Company and Director.
Provide suggestions for advertising venues to pursue to Director for approval.
Active participant on the sales and marketing team whose goal is to increase occupancy rate and build a robust sales funnel.
Maintain properly operations of monitors at north, main and south desks, to ensure they are up and running at all times.
Follow-up with all website inquiries and leads.
Report directly to the Director, providing required documentation.
Other duties as assigned.
