Due to continued and rapid growth, we are looking for an Administrative Assistant to assist our Human Resources Team. This position will work closely with the HR Generalist, HR Manager and other HR team members, as well as members of the Administrative, Finance and Operations teams. This position also will have frequent interaction with employees in addressing issues as they arise. A successful candidate will be very organized, have a high attention to detail and be process-focused. This position is responsible for sustaining current processes, delivering effective and timely service to internal customers, and assisting in improving HR processes. KEY RESPONSIBILITIES:
  • Process all employment paperwork, support new hire processes and maintain employee files
  • Manage compliance documents such as OSHA 300 logs, safety incident reports and other safety metric reporting s
  • Monitor and update all employee training documents for auditing purposes
  • Employee/ Labor Relations
    • Data collection, recording, preparation and reporting
    • Process Job Postings and other employment related documents
    • Organize and file confidential material, such as disciplinary records
    • Contact employees to cascade scheduling changes and overtime awards
    • Facilitate the administrative tasks related to employment (ranging but not limited to new hire through separation)
  • Support Payroll and Benefits processes through data entry, auditing and completing required follow up
  • Back up the Accounting team for production payroll administration and maintenance of time clock system
  • Process improvement opportunities as they come available
SKILLS AND EXPERIENCE:
  • Associates Degree in Business Administration or Human Resources or equivalent experience preferred
  • Requires 1-2 years of previous administrative experience and prior experience in Human Resources or Payroll
  • Effective communication written, electronic and oral with the respect to handling confidential matters
  • Strong attention to detail with personal eagerness to learn new tasks as a dependable self-starter
  • Extremely organized and energetic individual with a strength in working with a team
  • Personable and professional, persuasive and tactful, responsible and positive regardless of obstacles
  • Ability to multitask, prioritize, meet deadlines, problem solve and follow through with projects to completion
  • Strong computer skills with the aptitude to learn more (MS proficient- Word, Excel, PowerPoint, Outlook)
  • Demonstrated accuracy in grammar, spelling and proofreading. Demonstrated superior verbal and written communication skills.
  • Interpersonal skills interested and is able to develop and maintain strong relationships through technical knowledge, personality, and communication.
